Office Manager / PA to Managing Director £20-£25k (Dependent On Experience) + Benefits

Edgar Cowen is a successful and rapidly expanding recruitment company that is looking for an intelligent and well organised office manager to work in our Carlisle office. We occupy modern offices on Kingmoor Business Park, and enjoy an excellent working environment.

As the office manager you will perform an important function within our business, and you will be reporting directly to the Managing Director of the company. We seek an adaptable person that is able to literally 'do everything' and take a considerable admin workload from the M.D, as well as playing a supporting role to other consultants and sales professionals in the team. We need a person that is a competent Microsoft Excel user that can create a robust filing system, and keep on top of our mounting levels of documentation, systems and compliance requirements.
Some of the duties of the role will be outlined below, and we accept that we won't find someone with all the skills but what we want is a person that is flexible enough to learn the new skills and to take ownership of them over time.

Accounts & Company Administration

Invoicing and putting supplier invoices on Xero accounts platform (training will be provided)

Credit control

Liaising with our accountants.

Providing Company Secretary duties

Assisting the MD in drawing up financial forecasts



HR Administration

Drawing up internal employment contracts and job offer letters for Edgar Cowen recruits
Calculating consultant's monthly commissions and liaising with our outsourced payroll.
Sending interview request documentation
Planning and organising Edgar Cowen's internal recruitment  

Recruitment / Sales administration

Creating Excel spreadsheets and Documents for business development and forecast purposes
Drafting terms of business letters
Drafting new contracts for agency workers
Adding CV's and new companies to the recruitment CRM system
Training and support of the recruitment CRM and business analytics systems
Conducting research for consultants, and collating information for business development

Keeping Edgar Cowen's social media presence (Facebook, Twitter, LinkedIn etc.) current.
Updating the Edgar Cowen website

Advertising Administration

Dealing with all of our job board suppliers (e.g. Jobsite, Totaljobs)

Dealing with our web based multi-posting advertising tool (Logic Melon)                                                                                 

Dealing with marketing literature and advertising, including graphic designers and printers

PA Duties

Booking travel tickets and hotels, car hire and dealing with expenses.
Answering calls professionally and being the first port of call for incoming sales calls
Commissioning work on behalf of the M.D
Planning company events
Meeting and greeting visitors
Creating, managing and reviewing office filing systems and associated documentation.

Experience required

Some of your work will be utilising Excel so you will need to be a competent Excel user (able to create Pivot Tables etc.)
We need someone that has excellent communication skills, both written and verbal, and a proven track record in an administration role previously. We need a 'doer' that can develop systems as they go. We want a person that does not feel above doing basic sometimes repetitive administrative tasks, but also who is capable of dealing with director level responsibilities.

Perhaps a person that has worked in a smaller expanding company that has performed a large variety of tasks would be most suited to this role, but we won't rule out people with other interesting
