We are currently recruiting a number of Facilities Coordinators for a leading FM service provider on a number of contracts in various locations in Central London

Summary of Role:
Generally reporting to the Facilities Manager or their Assistant, the Facilities Coordinator role will involve coordinating internal functions with those of the Customer and suppliers.
Adherence to agreed working processes, planned and reactive maintenance regimes and health and safety requirements are all key parts of the role.

Tasks & Responsibilities:
* Works with the Technical Service Managers to develop management resource plans to meet operational needs and effects change where required
* Actively manage the Suppliers to deliver best value into the Account
* Ensure correct commercial procedures are followed to ensure the Clients budgets requirements are adhered to and the Account is not exposed to financial risk.
* Understand the requirements of the quality policy and procedures and how these are applied to individuals own role.
* Ensure compliance with Facilities procedures
* Work to the principle that Innovation is an essential management capability which will be a key factor in the sustainability of the Account
* Utilise CAFM system to maximum effect on the Account: operational delivery, commercial and demonstrating best practice
* Be aware of new technological applications within the industry
* Statutory compliance - Renaming of files/documents in preparation for SharePoint Upload
* Site folders - L8 documentation, supplier certification, service reports and weekly/monthly worksheets
* Coordinate work flow - Using data obtained from WIP, assign tasks for both colleague and supplier
* Helpdesk duties- Attach documentation to Concept, add closure details and change LoC, chase sub-contractors for completion documentation
* AWN's - Request supplier quotes and discuss self-delivery tasks.
* Manage all <£500 tasks

  • Escalate higher value or technical works to additional works team as advised by the TSM
  • CC/PI, Supplier man hours, site stock, holiday planner, daily closures and tasks for associating
  • Breakdown mitigation - Create weekly mitigation report, following details provided on Concept from engineers

Ideal requirements:

Professional Membership: Professional Membership to IWFM and advantage but not essential
Relevant Experience: Experience in a similar role and knowledge of CAFM systems required
