The property portfolio consists of over 200 assets and 250 leases/licences, predominantly residential but also including commercial and land assets. They are located within rural, village and city settings. Most property matters are managed by our in-house professional team, based in the Estate Office at Woodhall Park. Our Buildings & Facilities Department manages all maintenance and projects for the properties, using contractors as necessary.

The diversity of holdings within the portfolio offers long and short term occupation opportunities, including homes, workplaces, education, food production, public services, recreation and sporting. These contribute to a sustainable vibrant community and rural economy.

POSITION

A varied and interesting client-side role directly responsible for delivering all aspects of lettings and occupancy management for a diverse property portfolio.

This role will suit a person who has a desire to work on a fast-paced and demanding estate, and who can work independently as well as being part of a small team.

As a family business and historic estate, we forge personal and long-term relationships with our tenants. Tenant satisfaction and retention is important to us. The successful candidate will be expected to build outstanding relationships with the tenant community, as well as with internal and external stakeholders. Effective communication, record-keeping, compliance monitoring and a focus on continually striving for high standards of service, quality and productivity underpins the role.

The position is subject to a Criminal Records Bureau Disclosure in the event of a successful application.

Property Inspections & Rent Reviews

  • Be responsible for property portfolio income budgets and occupancy targets, improving rents and optimising occupation across the portfolio.

  • With the Buildings and Facilities Manager, conduct regular property visits to promote a high standard of tenant liaison and to ensure contractual and legislative compliance.

  • Conduct regular boundary inspections, referring to estate maps and the land registry, to ensure the integrity of the estate’s boundaries.

  • Set rents/licence fees and negotiate reviews in a professional and consistent manner. Lettings, renewals & terminations

  • Ensure that all properties, marketing and tenancies are compliant with appropriate legislation and contractual obligations.

  • Prepare and present the property to a high standard ready for the arrival of the new occupants.

  • Conduct end of tenancy procedures, including handling of dilapidations.

  • Carry out lease renewals and re-negotiations.

Tenant queries, issues & dispute resolution

  • Supported by the Estate Office team, manage the handling of tenant queries and make decisions/resolutions when required.

  • Work with the Buildings & Facilities Manager to ensure efficient response and resolution to maintenance items and high standards of customer service.

  • Handle tenant complaints, disputes or other issues.

  • If required, prepare insurance claims.

  • If required, prepare and oversee possession proceedings or any other required legal action.

General portfolio management

  • Contribute to the effective holistic management of the estate and provide assistance to the Operations Director on relevant estate management matters.

  • Improve the tenant composition and optimise the portfolio where possible. 

  • Prepare letting particulars for available properties including photographs, advertising and marketing the property with to let boards and website advertising.
  • Conduct viewings and oversee applications, references, statutory checks, lease negotiations, deposit handling and records of condition.
  • Arrange appropriate lease and licence agreements.
  • Monitor and ensure compliance on all occupation-related legislation and standards.

  • Manage the service charge and communal area compliance for commercial and mixed use sites.

  • Contribute to the planning of refurbishment projects to ensure properties are meeting and exceeding tenant expectations and market trends.

  • Conduct rental valuations under different assumptions to inform strategic decision-making.

  • Provide a forward-thinking and bespoke service to our occupants to ensure that retention rates

    remain high and that the Estate upholds an exemplary reputation.

  • Propose and carry-out initiatives to promote community cohesion, for example tenant events.

REQUIREMENTS
The successful candidate must have:

  • At least 5 years property/lettings management experience, or equivalent considered

  • Proficient knowledge and experience of practical application of all legislation, regulations,

    procedures and professional best practice relating to property and lettings management

  • Experience in managing residential tenancies

  • Either professional experience or a personal background in the countryside/rural life

  • Good negotiating skills

  • Knowledge and understanding of common building defects and repairs.

  • Discretion, accountability, strong verbal and written communication skills

  • A positive approach and the ability to prioritise and overcome challenges

  • A good understanding and working knowledge of Microsoft Office

  • A current driving licence

The successful candidate may have:

  • Education to degree level or equivalent

  • Membership of a professional body, e.g. RICS, ARLA, CAAV

  • Experience in managing commercial property tenancies

  • Industry-specific experience within rural estates or similar environments

  • Experience in the use of property management database systems
