Job Details

The Help to Buy Equity Loan seeks to stimulate demand for new homes by improving affordability. This contributes toward Homes England's delivery of 300,000 new homes pa and towards the objective of delivering home ownership products to customers. The H2B team operates a highly efficient and responsive service through deep understanding of operational policies, procedures, delivery, risks and controls. This ensures that Government’s high priority objectives are met for both new loan sales and the longer term performance of the equity loans.

We are looking for:

Essential knowledge, experience and skills

1- Exceptional organisational skills, with the ability to prioritise and communicate a range of projects and tasks.

2- IT literate with strong competence in Word and Excel, plus experience of learning to use new IT systems quickly.

3- Managing time effectively so that deadlines get met, working well under pressure and possess the ability to multitask

4- Experience of working closely with a Senior Leadership Team and supporting their overall administrative workload

5- Friendly self-starter with a ‘can-do’ attitude and the ability to work flexibly as part of a dynamic and fast-paced team.

6- Demonstrable experience of providing efficient administrative support in an office environment.

7- Strong communication skills, both written and verbal with the ability to communicate clearly at all levels in English.

8- Superior typing and note taking skills with an eye for detail

9- Experience of organising a series of meeting or annual schedule of meetings in a co-ordinated fashion to help with team communications

Desirable Qualifications and experience

1-Degree Level Qualifications or Business Administration related training/ professional qualification

2-Knowledge and understanding gained from working in the housing or banking industry would also be beneficial.

3-Experience of using client/information management software (or willingness to learn).

4-Experience of supporting events planning and delivery (or willingness to learn).

5- Experience of supporting formal boards or working as a part of a secretariat function, including setting agenda in consultation with the Chair, taking minutes, following up actions

Our successful candidate will:

Provide administrative support, assisting HtB team members in a variety of ways, overseeing the effective running of team support services and leading on a number of business processes;

Manage the office to ensure the efficient management and upkeep of the physical office space;

Promote effective use of time and keep everyone informed on what is going on daily and in the future by maintaining central HtB calendars and schedule of meetings;

Oversee the diary appointments for the Leadership team members, ensuring papers are co-ordinated in preparation for their meetings including meeting and greeting visitors;

Support events management including ensuring that events efficiently, including ordering resources, planning catering and refreshments, acting as front of house, providing hospitality.

Be a point of contact between HR and Heads of Department in relation to performance management and organisational returns, including overseeing annual leave management and sickness/ absence, lateness etc.

Coordinate team responses to corporate requests and keep track of deadlines, progress checkpoints in a central place enables projects to run smoothly and everyone involved to have a common point of reference;

Support the enquiry and complaint management procedures and ensuring team co-ordination with other teams critical to Help to Buy delivery e.g. finance, legal, enquiries team and secretariat. Oversee the training requirements of the new starters either directly or through reports and take a special interest in helping new employees understand their position and work to make them feel included;

The role holder will also be required to work with the Executive Administration Assistant to : a.Support Heads of Department to ensure team compliance with organisational procedures e.g. performance appraisal b.Locate and print documents as required for meetings c.Manage deadlines and timeframes for tasks being completed by other team members

Focus on Result: You will need to be dynamic individual in a busy and constantly evolving programme environment. The successful must be able to work autonomously; be able to work flexibly in a fast paced environment, delivering to tight deadlines.

Analysis and Planning: You will need to work quickly and accurately through the planning and prioritising of own workload.

Collaborative – You will be highly collaborative and flexible with a commitment to excellent project delivery and success of the team and programme overall.

Presenting and passing on correct information promptly Fostering mutually constructive and respectful relationships internally and externally Being polite and behaving in a professional manner

Learning – The post holder will need to work collaboratively with stakeholders both internal & external, to provide a pro-active service; one that is well planned & minimises the need for reactive activity. Being willing to share our own knowledge & experience Recognising the opportunity to learn within our day to day roles Being willing to acknowledge lessons learned & if necessary, try again

Creative- The post holder is expected to make strong contribution to the HtB continuous improvement agenda and to support the HtB Transformation Programme, including implementing new ways of working Suggesting new ways of working and improvements to benefit our own, and our colleagues’ work Willing to learn from results and try a different way, if necessary
