My client is looking for a ‘head of department’ to join their boutique property consultancy based in the West End. They provide property management and professional services to investors, property companies, and charities across London & the UK. It is an exciting time in the company’s development. They’re pivoting towards sustainability, connectivity and the tenant experience. This means innovating and creating new ways of working that excite their clients and help them succeed in a rapidly changing occupier market. My client has a friendly and collaborative working culture and holds the Investors in People Gold accreditation

This role is an established role; however, my client requires an individual to manage and grow the department to ensure their five-year business plan strategy for the department can be achieved. They have one client with over 50 properties throughout the UK, as a retained client, and a few charities who provide recurring professional and agency instructions. The successful candidate will be required to grow the department and have more retained clients with opportunities aligning with the company’s vision & strategy.

Using your previous experience, you will initially take over all current instructions within the department. Once settled, you will work with the Business Development department to focus on developing the department and achieving the company’s clear vision for retained clients.

You will regularly report to the company Directors.

Responsibilities will include:

• Managing the retained lease management portfolios and carrying out all associated professional and agency matters in relation to the portfolios throughout the UK, including but not limited to;

o Inspecting and measuring properties

o Negotiating lease renewals, new leases, break surrenders, rent reviews and dilapidations

o Undertaking Red Book valuations and Charities Act valuations

o Preparation of schedules of condition

o Preparation of planning applications

• Ensuring QUBE and all tenancy schedules are kept up to date. This will include; preparing lease summaries, onboarding all new leases, removing any vacated properties and regularly auditing and re-summarising leases and portfolios

• Undertaking lease event management for all retained clients and ensuring all lease events are actioned according to client’s portfolio strategies

• Managing and overseeing all reactive and planned maintenance matters relating to retained clients

• Preparing monthly and quarterly tenancy schedules & client reports

• Attending regular retained client meetings and managing client relationships

• Manage all retained contracts in place and carryout the annual fee review and contract renewals

• Carryout ad-hoc professional and agency instructions including but not limited to;

o Inspecting and measuring properties

o Negotiating lease renewals, new leases, break surrenders, rent reviews and dilapidations

o Undertaking Red Book valuations and Charities Act valuations

• Assist the Property Management department with any professional instructions or lease queries

• Assist the Property Management department with the onboarding of any new leases and QUBE audits

• Strategically grow the department through planning, resourcing and business development, including working closely with the Business Development and Marketing Manager to identify new opportunities and marketing campaigns relevant to the department

• Working with Business Development to identify target clients and opportunities to support the company’s ambitious growth strategy

• Work with the Board of Directors to prepare and implement the department’s annual Business Plan

• Produce all budgets and financial information that the Board of Directors may require for their regular Board meetings

• Manage the departments WIP and KPI

• When the department grows and there is additional headcount within the department, manage the individuals and ensure their work is in accordance with the business plan and company’s vision.

• Ideally MRICS and also a Registered Valuer (3-5 years PQE)
