An hourly contract rate can be offered if self employment preferred.

Hybrid role working from home but with occasional office visits.

Office based in Harpenden, Hertfordshire.

Tabacon Group is a small privately owned commercial property investment company based in Harpenden, Hertfordshire. The company shares the office with a larger property company located off Harpenden High Street. 

Tabacon is seeking a professional experienced Commercial Property Manager to manage all aspects of a small property investment portfolio of approximately 40 occupational tenancies across 12 locations. All properties are let on Full Repairing Leases with the exception of two mixed use neighbourhood parades where upper parts are leased on Long Leases to established residential landlords.

Most of the investment properties are in the South East and the candidate will ideally be based in the southern part of the country.

The candidate should be willing and able to identify and implement asset management initiatives to enhance the portfolio such as directing letting agents to identify tenants where required, and co-ordinate rent review surveyors and solicitors.

The individual will be a self-starting, engaging and energetic with confidence to be able to work unsupervised. The candidate will have control over the portfolio but with Professional and Director support where required. It is expected that productive working relationships are established with tenants so that Lease obligations are met and rent payments made.

The candidate should have a minimum of 5 years’ experience in Commercial Property Management and have good written and communication skills and be well organized. The individual will need to be up to date with Landlord and Tenant legislation and Service Charge Code. MRICS qualified would be ideal but is not essential.

The candidate must have a good eye for detail and possess competent IT skills particularly Microsoft Word and Excel which are used to record information, cashflows and invoicing.

Property Management Function.

  • Manage a portfolio of commercial property
  • Liaise with tenants to ensure smooth estate operation.
  • Update company tenancy schedule and highlight key dates for rent review lease expiry etc.
  • Liaise with Bookkeeper regarding Rent Invoices and Payments.
  • Minimise rental arrears.
  • Carrying out periodic site inspections
  • Deal with property management issues in conjunction with company key contractors.
  • Tender F.M services where required.
  • Prepare annual service charge budgets, reviewing expenditure and provide annual reconciliations.
  • Action all aspects of Health and Safety requirements with appointed building surveyors.
  • Provide information where required to insurance broker regarding properties and forward any claims liaising with tenants where required.
  • Be proactive and use initiative to enhance property income and portfolio efficiency.
  • Update and maintain the tenancy schedule, property details and key information.
  • Contact utility companies regarding any landlord supplies.
  • Read and understand Commercial Leases and be familiar with Landlord and Tenant legislation.
  • Liaise with solicitors regarding notices, rent reviews and new Leases.
  • Attend Board meeting updating progress to two Directors.

The Person/Individual Specification.

  • Self motivated and energetic with a can-do attitude.
  • Happy to work independently with Director and Professional help when required.
  • Minimum 5 years’ experience in Commercial Property Management.
  • Ideally RICS qualified although this is not essential as property management experience is more important.
  • Keep up to date with changes to Landlord and Tenant legislation.
  • Be able to apply legal principles of tenant applications for consent and know the processes to be followed.
  • Understand credit control methods.
  • Competent IT skills in Word and Excel.
  • Recording of minutes of occupier and internal meetings and carry out all relevant actions.
  • Take appropriate action for all forthcoming lease diary events
  • Identify opportunities for asset management of the portfolio and action where possible.
  • Review tenant applications and make appropriate recommendations.
  • Provide relevant information to the company Commercial Insurance Broker and forward details of any claims.
