My client-side client who have been established since 2006 is looking to add a Senior Property Manager to their team. My client is based in Reading and they have a UK portfolio valued at £100m+, which comprises of multiple sites including; Birmingham, London & Bristol. In line with a growing market and never ones to stand still, my client’s goal is to maintain growth levels by acquiring more projects, managing them as effectively as possible and delivering operational excellence as a team from top to bottom.

As a Senior Property Manager, you will take national responsibility for property management across my client’s portfolio, assisting the Asset Manager (AM) in delivering the business plan for each asset. With support from the Head of Facilities (HoF), and assistance from the on-site Campus and Building Managers, you will be responsible for ensuring property, operations and facilities management across a geographical portfolio is delivered smoothly and efficiently to the standards our members expect. You will engage with members as required, to perform your duties and to uphold my client’s company’s values.

Key responsibilities
Property Management
• Manage local projects alongside the CH/CM, tracking expenditure to allocated budgets, regular progress reporting to the AM, and ensuring timely and efficient delivery.
• Working with the HoF to ensure statutory compliance at each property, and coordinate delivery of remedial works as required.
• PPM – in conjunction with advisors, produce a schedule of major works for approval by the AM, for the next 5-10 years to ensure each project building is properly maintained and safe for all occupiers and building regulation compliant.
• Coordinate and track delivery of all on site contracts, regular and Ad hoc, delivering best practice, and procuring new cost-effective contracts as needs be. Working with the on-site teams to ensure they manage their contractors to deliver the expected standards, and to support them in that role.
• Maintaining the look and feel of allocated properties in line with my client’s brand, working at both an operational and managerial level, with consideration to the experience and skill set of the on-site team.
• Maintain portfolio insurance schedule and manage the insurance renewal process.
• Ensure correct and current lease documents and associated paperwork is saved and filed correctly with redundant documents being archived, as well as ensuring the External managing agent has copies of new documents in a timely fashion and has acted upon them.
• Manage the CH/CMs to ensure that good customer relations are maintained at allocated assets and that my client’s business communities are thriving
• Lead my client’s Sustainability working with the onsite teams to monitor ongoing consumption of utilities and carbon output, and find creative and innovative ways of moving the portfolio forwards.

Finance & Property Systems Management
• To prepare for Review and approval by the AM, Capex, Service charge, and capital projects. To Track and report regularly on expenditure, managing the site teams to take ownership of their individual cost centres, whilst ensuring best practice across all sites.
• Ensure that service charge budget packs are properly prepared and communicated to tenants in good time. Manage any tenant liaison on extraordinary expenditure and provide advice to clients on any non-recoverability issues.
• To take ownership of arrears across the properties, weekly updates with the Campus Managers, and to deal with insolvent tenants and their solicitors to recover space and maximise recovery of rent arrears, with the support and assistance of the teams on site.
• Ensure that all expenditure is delivered in accordance with the service charge budgets and prepare reconciliation packs, working with the accounts team, within the specified time periods.
• Through the year, carry out quarterly reconciliations of service charge budget to actual, ensure that the site teams are correctly coding expenditure, and on an ongoing basis ensure that all tenant occupations, and periods of occupancy are kept up to date and correctly recorded on the database.
• Working with the HoF and the on-site teams, to identify cost efficiencies and recommend alternatives to be implemented which enhance service and save costs.

About You
• MRICS
• Great with engaging with customer/Tenants/Members, presenting a “can-do” attitude.
• Good knowledge of Yardi Voyager management system would be a distinct advantage.
• The ability to think outside the box, combined with a commercial, pragmatic approach to problem solving, combined with an eye for detail.
• Experience in managing external advisors, contractors and suppliers as well as managing a small team.
• Experience of Project managing refurbishment projects and major works.
• Demonstrate the ability to negotiate soundly and effectively with tenants/members, suppliers and contractors
• Intrinsic interest in, and feel for, business centres and what makes them work as communities and
commercial hubs.
• Adaptable and confident communications style; able to deal with a spectrum of contacts from caretakers to tenants/members, to banks and investors
• Show a knowledge and flair for good design in buildings, finishes and brand
• Knowledge of statutory requirements and best practice for health & safety
• Sound experience of Microsoft Office 365 in particular Excel.
